Activate your licence on BrightPay for Windows
If you want to stay with what you know, BrightPay for Windows is available for the 2025/26 tax year. It's the same desktop payroll software you're familiar with, designed to ensure accuracy, compliance, and ease of use.
Whether you’re switching to a Windows PC or using virtualisation software like Parallels or VMware on your Mac, we’ll help you get set up.
Please note, that BrightPay for Windows will only be available until the end of the 2025/26 tax year.

What BrightPay for Mac and BrightPay Connect functionality is not currently available on BrightPay’s cloud software?
Currently, all features of BrightPay for Mac, except for the Construction Industry Scheme (CIS) module, are available on the cloud version of BrightPay.
While almost all functionality of BrightPay is available as part of BrightPay’s cloud software, there are a few remaining features of BrightPay Connect which are currently in development.
- Employee mobile app (coming in 2025)*
- The option for employees to view other employees' leave on the calendar (April 2025)
- Payroll Entry Requests (available May 2025)
- Payroll Approval Requests (available May 2025)

*While the employee mobile app is not yet available, employees can access all of the same functionality as the app through their online employee portal, accessible via an internet browser.

I use CIS. Is this supported in the cloud?
CIS functionality is currently only available on BrightPay for Windows. We are developing a separate solution and this will be available later in 2025. If you wish to switch to BrightPay cloud, yet require CIS functionality now, you can use BrightPay for Windows for CIS alongside BrightPay cloud. Please contact our team on brightpaysales@brightsg.com for assistance.
What is the price of BrightPay's cloud software?
What is the maximum number of employees allowed?
For 2025/26, BrightPay’s cloud software is currently restricted to 300 employees (including starters and leavers) per employer upon release. This limit will be increased in the future.

I’m trying to import my data file to BrightPay cloud using Safari browser but my file is not importing, what can I do?
What steps are involved in moving to BrightPay cloud?
Once you have completed the form on this page, you’ll receive an email with a link asking you to log in using your BrightID, and to activate your subscription. Next, follow these 3 steps:
Step 1: Log in using your BrightID
Go to https://brightpay.brightsg.com/? and log in using your BrightID. If you have already purchased BrightPay, or used BrightPay Connect or other Bright Products, you will already have a BrightID.
Step 2: Create your organisation
Once logged in, you will be asked to create your organisation. Here, you need to enter your organisation name and address, choose your payment plan, and add a payment method.
Step 3: Import your employer(s)
Select the option to ‘Import from BrightPay for Windows/Mac’. Select the employer file(s) you wish to import, and BrightPay will import all of the required payroll data.
Can I import an employer from Mac snapshot to BrightPay cloud?
Yes, however we would recommend importing your employer data using the direct import option outlined above.
To import the company from the MAC snapshot you need to rename the file to .zip and then extract out the employer file from the zip file and import to BrightPay cloud.
How do I find my employer data file on my Mac?
To find your employer file on your Mac, right click on the company name on your BrightPay home screen and choose 'Show in Finder'. You can also see the location of your employer data file below the company name on BrightPay homepage.
What information/data comes across when I import from BrightPay for Mac?
When importing a company from BrightPay for Windows/Mac to BrightPay’s cloud software, the employer and employees’ details, pay elements, pension details, payslips, reports and any updated pay periods are imported.
Please note, you will need to re-enter the HMRC Gateway credentials and Nest credentials, if the Nest is your pension provider. You will also need to send email invitations to other team members through the payroll, to give them access.
This import can be completed mid-year.
Will any annual leave in BrightPay Connect transfer to the cloud software?
Yes, they can be transferred. However, all pending requests in BrightPay Connect must be either approved or declined before the transfer.

Can I pay my employees using Modulr on BrightPay cloud?
Yes, Modulr is available in BrightPay cloud to make payments to Employees and HMRC
Can I allow users and managers to access employee andpayroll information on BrightPay Client Portal?
Moving to BrightPay for Windows could be the best option for you in 2025/26, especially if you rely on CIS functionality, have more than 300 employees per employer, or are waiting for BrightPay Connect features that have not yet been released in the fully cloud-based version.
Please note, however, that starting in the 2026/27 tax year, BrightPay will be exclusively cloud-based. The desktop version will no longer receive updates, support, or legislative compliance.
How do I install BrightPay on a Windows PC?
- To install BrightPay on a PC, select 'Download' beside the 'BrightPay 2025/26 for Windows' option on the BrightPay website here
- Locate and transfer your employer file(s) from your Mac.
- Access and open your employer file on the new PC
- Activate your licence on your PC

How can I use BrightPay for Windows on a Mac?
You can use BrightPay for Windows on a Mac with virtualisation software like Parallels or VMware.
Where can I locate my current employer file on Mac?
- On your Mac, double click on the BrightPay Desktop icon to launch the program and to display your starting screen
- Simply hover over the business name you wish to transfer and make a note of the location that will be displayed in the grey pop-up box
What are the steps for installing BrightPay for Windows on a Mac?
- First install either Parallels or VMware on your Mac. Please note that this software is not provided by Bright.
- Download and install BrightPay for Windows from our website www.brightpay.co.uk.
- Follow the guidance on installing the software to your PC here.
What features does BrightPay for Windows offer that are not available in BrightPay for Mac?

My BrightPay Connect contract has already been renewed this year. What happens to my contract after April 2025?
From April 2025, BrightPay standard licences will no longer be sold alongside BrightPay Connect. This means that your BrightPay Connect contract will be terminated, and from that date, you will no longer be charged.
I use BrightPay’s desktop software without BrightPay Connect. Will the desktop standard licence be available for the 25/26 tax year?
Yes, you can purchase a BrightPay standard licence for the 2025/26 tax year. However, it will not be available in combination with BrightPay Connect. It will only be available on BrightPay for Windows.
Will any annual leave in BrightPay Connect transfer to the cloud software?

I am a customer using a BrightPay desktop bureau licence along with BrightPay Connect. Will this option still be available for the 25/26 tax year?
Yes, you will still be able to purchase a BrightPay bureau desktop licence along with BrightPay Connect for the 2025/26 tax year. However, it will only be available on BrightPay for Windows.
Can I use BrightPay Connect with BrightPay’s cloud software?
When will the sale of BrightPay Standard with Connect cease?
If I move to BrightPay cloud, how long will my employees and users be able to access the Connect portal?
To support your transition to BrightPay cloud, you will retain access to Connect for the first three months of the 2025/26 tax year, until 5th July 2025. Employees will lose access to their Employee Self-Service portal after 5th April 2025.
